初始定义

Docmnhl1.doc - This file is used for exporting sales and purchasing documents.
This is an editable template; the user can add and remove system fields and
columns as required.
CustAccounts.doc - This file is the template used in the export of the Customer
Receivables Aging report.
ToDoLetters.doc - This file is the template used in the export of the Open Items
List.
注意:
CustAccounts和ToDoLetters文件都是系统预先定义好的文件,不能进行编辑。但是可以在文件中添加文本和图片。
系统初始化-一般设置-路径选项卡,在Word模板文件夹路径定义中选择对应于SQL Server的文件夹。
例如:在系统安装过程中,会自动在SBO_SHR\WordDocs\TEMPLATE文件。
2. MS-Word Installation - Make sure you have MS-Word installed on every
workstation you want to export from.
2.Word安装:如果想要应用导出功能,必须在系统的每台工作站中都安装Word软件。
Word文件夹
l 每个SBO客户端都会有一个WordDocs文件夹来存放系统中导出的凭证以及报表。
l 系统为每一个数据库(公司)自动创建一个以数据库名称相关的文件夹。
l 在数据库文件夹中,系统自动为每一个业务伙伴导出的凭证创建一个文件夹。
l 系统用户为每个业务伙伴导出的凭证将会作为Word文件存放在这些文件夹中。
l 文件以凭证名称+凭证编号命名,例如:报价单6.doc。
当同一个用户两次导出同一个凭证时,会显示下面的信息窗口:
打开——打开最先被导出的文件。
替换——删除最先的文件并且将保存新文件。
注意:
系统根据文件名称以及储存位置来分辨文件,如果文件移动到其他文件夹,或者更名了,那么就不会出现上述信息。新的文件会以常规方式在默认位置被创建。
报表
在使用导出功能前确认系统不在使用MS-WORD程序。
可以导出到Word文件夹的报表有:
l 未清物料清单,未清应收发票以及未清预留发票。
l 帐龄报表,该报表记录了客户相关的未清债务。
l 可以选择多个行进行导出。
用户导出的报表将会存放在MS-Word文件夹中。文件名称由报表名称+日期组成。例如:客户帐户科目-10_25_2004.doc.
编辑Word模板文件
导出文件的模板是可以进行修改的。首先,复制源WordDocs文件夹,系统初始化-一般设置-路径。
进入副本WordDocs文件夹,并且打开Docmnhl1.doc文件(为销售以及采购凭证的导出所做的模板文件)。
工具条——当打开Docmnhl1.doc文件时,文件窗口中将会显示如下包含4个下拉菜单的工具条。
每一个菜单都可以添加不同的内容到模板中,点击浏览下拉菜单中的内容。
概要——包括名称文件。显示了在凭证表头位置的内容,例如凭证编号,业务伙伴代码等。
行矩阵——显示了在凭证表格中的内容,例如:物料代码,数量等。
服务矩阵——显示了在服务类型凭证中的内容。
凭证总计矩阵——显示凭证的总计内容。
模板结构
模板分成5个部分,可以分别对这些部分进行编辑。
Editing the Header and the Footer
1. Adding fields from SAP Business One: Fields added from SAP
Business One to the header and the footer areas are retrieved
from the 'General' drop down menu e.g. adding the 'Tel 2' field
saved in the Business Partner Master Data to the documents
exported to MS-Word.
编辑表头及表尾
1. 从SBO中添加文件,需要2个步骤:

2. 添加其他的要素:可以如同其他任何常规的编辑方式一样添加附加的要素到导出模板文件中去,比如改变字体,颜色,添加文本以及图片。
例如,如果你希望在导出文件中添加公司的LOGO图标,则需要一下几个步骤:
l 将指针放在条头,或者其他想要添加图片的地方。
l 添加Word插入菜单,选中图片,并且找到源图片文件
For example, you can add a logo picture to the documents exported to MSWord.
To do so follow the next stages:
• Place the cursor in the Header, on the specific place you would
like to add the picture.
• Click Word's Insert upper menu, choose Picture and select the
relevant source. The picture you choose will appear in all the
documents that will be exported to MS-Word.
Editing the Items Table
Adding fields from SAP Business One: Fields added from SAP Business One to the
Items Table area can be retrieved from the Matrix – Lines drop down menu. Meaning,
fields located in the Items table in the document.
For example, you can add a Barcode value (EAN Code) saved in the Item Master Data
to the documents exported to MS-Word.
To do so, follow the next steps:
• In the Word template, place the cursor in the Table, on the
specific place you would the field to be added.
• Click Word's Table upper menu, choose Insert and Columns to
the Left/Right.
• Click the Matrix – Lines drop down menu and select the Barcode
field:
In the header of the column, enter a relevant title ? Barcode.
You will be able to design the fields by changing their font, color, size, etc.
The document that will be exported to MS-Word will look like this:
Editing the Service Table
Adding fields from SAP Business One: Fields added from SAP Business One to the
Service table area are retrieved from the Matrix – Service drop down menu.
For example, you can add the Rate value saved in the Service table to the template of
the documents exported to MS-Word.
To do so, follow the steps detailed in the Editing the Items Table section.
Editing the Table Summary by Documents
Adding fields from SAP Business One: Fields added from SAP Business One to the
Summary by Documents Table area are retrieved from the Matrix - Summary by Docs
drop down menu.
For example, you can add the Base Document Reference saved in the Summary by
Documents table to the documents exported to MS-Word.
To do so, follow the steps detailed in the Editing the Items Table section.
Path for Word Template Directory
Under System Initialization ? General Settings ? Path tab page, in the Microsoft Word
Templates Folder field, make sure you choose the path to the folder on your SQL
server in which the new template you have created for exporting your documents is
located.
It is recommended to locate the new template in the same folder as the original one.
e.g.:\\server\SAP Manage\SAP Business One\SBO_SHR\WordDocs\English\
Note! Choose the path from 'My Network Places' and not by Network Drive Map.
Additional Remarks
Deleting Fields - It is possible to delete elements from the template for
export like in any regular editing process of MS-Word templates.
Editing MS-Word Template for Exporting Reports - It is possible to
add any element to the header and footer areas of the template for
exporting the Open Items List and the Customer Receivables Aging
reports as you would do in a regular editing process of MS-Word
template.
For example, you can add a logo picture to the report exported to MS-Word.
To do so, follow the steps detailed in the Editing the Header and the Footer section.
Note! The template for exporting sales and purchasing documents is shared for all
types of documents. If you require different templates for a Quotation and an Invoice
for example, you have to create two different templates and replace the path specified
in the System Initialization window every time you perform. an export.
