在国外,邮件的使用频率极高,从留学申请到在国外工作与老板和同事沟通,一封内容清晰、话术准确、格式完整的邮件必不可少。很多同学一开始可能不习惯,也缺少一定的话术积累,所以对着邮件磨磨叽叽半个小时也没发出去。本文将邮件拆解成:

主题→称呼→开场白→正文→结束语→落款

6大部分,分别帮大家整理了可用话术和写作Tips,供参考。

Part 1 主题

【简洁明确,直奔主旨】

主题(Subject)要点明邮件中心目的,几个单词简要描述,让收件人一眼知晓意图即可。

-话术总结

【问题】Questions about & regarding…/ An enquiry about…

【招呼】Greetings from…/ Hi from…/ Check in

【更新】Update on & to…/ Follow-upon…/ Progress on…

【提醒】Reminder: …/ Please read: …

【约定】Meeting today & tomorrow / XXX Schedule / Reschedule

Part 2 称呼

【注意身份,恰当选择】

写邮件之前确认好收信方的称呼,尤其是给教授/导师/助教/HR/Mentor/Boss发邮件时,注意书写正确,如果名字都没写对会给对方留下非常不好的初印象。

-话术总结

Hi + first name / Prof. & Dr. & Mr. & Ms. & Mrs. + last name / everyone / all / there / students / community / candidates / admission officer

Hello + 同上

Dear + 同上

Hey + 同上:注意,Hey用于非常熟的人,一般较少使用

Good Morning / Afternoon + 同上

【简单问候,以示礼貌】

对于发件人来说,开场白的使用避免邮件过分直接和尴尬😅,对于收件人也能够感受到来信的友好和礼貌。

【自己主动发邮件】Hope you’re doing well / Hope you’re well / Hope you continue to be well / Hope you and your family are all well

【书写准确,灵活变化】

落款是一封正式的邮件不可缺少的一部分,一般与正文&结束语隔一行书写。

由于是最后一步啦,大家可能急着发出去而出现错误或遗漏,所以一定要稳住!

建议制作个人的落款模板,一方面方便展示自己的基本信息,另一方面也避免书写错误。

Part 7 Tips

-发送邮件前请仔细检查,避免拼写/称呼/附件遗漏/收件人邮箱等低级错误

-邮件措辞尽量客气礼貌,避免强硬的要求,比如:You have to / must / need to,多用请求类语句Could you please…/ May I have…/ I’d love to…

-发邮件的时间注意选择工作日的工作时间,如果有时差设置定时发送

-使用专业的邮箱地址,比如给Prof发邮件尽量使用学校edu邮箱

-收到回信记得礼貌回复,不管是否还有其他问题或后续输出,都请及时回复并表示感谢

-心态:不要怕写错/语言不地道/用词不准确,只要能清晰表达自己的意思让对方理解即可。同时,邮件往来的过程也是学习书写的过程,所以不用担心,时间长了就熟悉啦
