· SalesRepresentative
o Whotalks to customers, knows everything of the products manufactured and sold bythe company. His duties include to suggest the best product to the customer,give the best possible rate to the customers and listen to the needs of acustomer. After finalizing the sale, he has to forward the details of the sale(customer info, product sold, quantity sold, approximate ship date etc.) to sales desk clerk.
· SalesDesk Clerk
o Thejob responsibilities of a sales desk clerk is to enter the purchase ordernumber in the system. All customer details, quantity, price and products sold.Sales Desk Clerk also need to know the method of payment (Cash, AmericanExpress, Visa or Master Card). The purchase order is printed to be forwarded toproduction clerk. Sales Desk Clerk will also print the invoice when order ispicked and a confirmation is received from Warehouse Clerk.
· ProductionClerk
o Productionclerk verifies the product details and checks if the product on purchase orderand required quantity is in stock or not. If the required products are instock, then he/she has to forward the purchase order to the Warehouse Clerk,otherwise he has to report back to Sales Representative to explain how muchquantity can be shipped now and how much quantity will be on back order withapproximate date to fill the order. The Sales Representative then talks to thecustomer and asks for permission to fill the order with whatever quantityavailable to ship with a promise to complete the order by a given date.
· WarehouseClerk
o WarehouseClerk is responsible to check the purchase order with the physical inventory.The physical inventory may indicate different values of quantity in stock for aspecific item for various reasons like Inventory not entered correctly,products sold without invoicing through the system, products stolen, productsdamaged in production etc. If the required quantity is in stock, warehouseclerk will pick the order and forward the purchase order to shipper/receiver,if warehouse clerk can’t fill the order because of discrepancy in physicalinventory and the system inventory, he/she has to notify the production clerk,who in turn will get back to sales representative to get approval from thecustomer to extend the approximate ship date. The Warehouse Clerk will send thepurchase order back to Sales Order Clerk to get the invoice printed beforehanding over the products to shipper/receiver with invoice.
· Shipper/Receiver
o Shipper/Receiverreceives all products with invoice details. He/she has to verify the productspicked and quantity on invoice, print shipping label, way bills, enter ordertracking information in the system, arrange for a Courier pick up and completethe order procedure.
