Shirley's for-point plan to structure business email manages logicaly:

1.Introduction
 Hi Sameul (No comma needed here)
 Good day, Sameul
 
 DONT say:

 Good day ....
 
 other examples:

 Thanks for your call.

 Thanks for the lunch/treating.

Clearly state what you need from recepient.

Business writing skills:


1.Get to the point.
Don't use these expressions:


I am writing to inform you that  ...
Would all stuff please note that ...
Kindly be noted that..
I wish to bring to your attention that....
Please be informed...
Pleaes note that ...


2.KISS : Keep it short and simple


keep 7-10 words in one sentence.


3.Use active not passive void 
Active void means the subject of the sentence does the action of the sentence.
e.g. The study was completed by the Marketing Director.
Passive void means that subject of te sentence receives the action.
e.g. The Marketing Director completed the study.


Correction examples:
1).Your co-operation is neede in providing the following information for the directory. (Lengthy and redundent )
  Please let me know this information for the directory.
2).The agenda will be prepared by Audrey Tan.
   Audrey Tan will prepare the agenda.
3).If the goods have not been received by next Friday our transport department should be contacted immediately.
   Please contact our transport department if you don't receive the goods by next Friday.
4.Use Modern Language
 examples:


 1) You letter of 21 May refers.
    THank you for your letter of 21 May.
 2) Please find attached ...
    I'm attaching..
I'v attached. ..
 3)Enclosed herewith please find a copy of our latest catalogue for you reference and persusal.
